Overview

The Mail Clerk maintains the proper distribution and processing of incoming and outgoing mail. This position works onsite in the Grinnell Mutual home office located in Grinnell, Iowa. Please note that candidates must be eligible to work in the U.S. without Grinnell Mutual sponsorship.

Responsibilities

  • Collects, sorts, and processes outgoing mail by applying required postage based on class and/or size of item and maintains postage records. Sorts outgoing mail according to company procedures, e.g. by state, agent or mutual number and inserts mail into corresponding envelope.

 

  • Lifts and unloads mail containers or parcels onto equipment transport to mail room for sorting and delivery.

 

  • Presorts incoming mail for imaging or distribution through interoffice mail routes by following set procedures and routines. Determines which mail to open or not open according to guidelines.  Opens envelopes by hand or machine and places mail in appropriate bin for delivery.

 

  • Prepares outgoing mail by inserting into appropriate envelope or box. Prepares mail according to United States Postal Service guidelines by weighing packages or letters to determine postage needed using scales and rate charts. Weighs and seals outgoing envelopes and sorts into appropriate bin, tray or bag.

 

  • Greets employees in a professional, friendly, and hospitable manner while delivering mail or when employees visit the mail room.

 

  • Delivers interoffice mail according to room number or name by pushing a mail cart along a predetermined, scheduled mail route. Drops off and collects mail along the route and places collected mail into corresponding file on mail cart. 

 

  • Drives to the post office to pick up incoming mail or to submit outgoing mail.

 

  • All other duties as assigned.

Qualifications

  • High school diploma or equivalent combination of education and experience. Experience working with the public is preferred.

 

  • Ability to demonstrate good interpersonal, listening, and customer service skills to assist employees with their mailing needs.

 

  • Ability to adhere to a strict mail delivery and pick-up schedule.

 

  • Ability to perform basic math, including the ability to add, subtract, multiply and divide. Demonstrated attention to detail in matching numbers and data to analyze similarities and differences when working with mail.

 

  • Ability to read and comprehend written sentences and paragraphs in work related documents.

 

  • Ability to remain flexible, work in a team-oriented environment, adapt to change, work comfortably with data, details and routine, and remain positive even when meeting time deadlines/schedule deadlines.

 

  • Ability to work in a harmonious manner with co-employees, customers and supervisor.

 

  • Ability to maintain regular and predictable schedule that mirrors the schedule of our typical customers’ business hours. Ability to demonstrate dependability on the job, including reliability, responsibility, and fulfilling obligations on the job.

 

  • Ability to use office equipment including a telephone, electronic postal scales, personal computer, specialized software applications, automated processing equipment for folding, inserting, and metering mail pieces and demonstrate basic knowledge of Microsoft Office suite including Outlook.

 

  •  Ability and willingness to learn new ways to perform job duties when needed.

 

  • Must be able to maintain confidentiality and propriety information.

 

  • Demonstrated ability to adhere to all Grinnell Mutual policies.

 

  • Demonstrated ability to incorporate Grinnell Mutual core values in all areas work.

 

 

Working Conditions and Physical Efforts

To perform this job successfully, an individual must be able to perform each job duty and responsibility satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform job duties and responsibilities.

  • The position is physically located in the home office with a work environment of a typical office setting; noise level is moderate with frequent machine noise. The position requires an individual to frequently walk, sit and to drive on an occasional basis. 

 

  • Ability to maintain driver’s license and meet corporate driving standards. Requires occasional exposure to external weather conditions, e.g. hot or cold, rain or snow.

 

  • Ability to exert up to 50 pounds of force and to lift up to 40 pounds.

 

  • Requires the ability to see details at close ranges, as well as dexterity to grasp, manipulate or assemble objects.

 

  • Requires direct physical activity to operate machines, e.g. process mail through postage machine and push mail cart to different locations in the office to pick up or deliver mail.

 

  • Requires repetitive motion to sort mail and process mail using postal meter machines and mail sorting unit.

 

  • Performs general physical activities that require considerable use of arms, legs and moving whole body, such as climbing, lifting, balancing, walking, stooping, and handling materials.

 

  • Frequently interacts with internal customers throughout the company by telephone or face-to-face contact. Occasionally interacts with external contacts, such as post office employees, when delivering last batch of mail at the end of the day.
